Responsibilities:

MAIN TASKS:

  • Implement and manage all activities related to administration.   
  • Manage all facilities at school to best serve all activities in school. 
  • Manage and administer the maintenance, housekeeper, security at CIS, ensure reparation and maintenance of environmental protection and sanitation on the campus.
  • Coordination of functional units to perform tasks arising in the course of operation of the school.

SPECIFIC TASKS:

1.    Administration

  • Inspection and evaluation of the quality of cleaning, security and tree-caring services.
  • Planning and proposing solutions to ensure a green and clean environment.
  • Write and distribute email, correspondence memos, letters, and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Update and maintain office policies and procedures as required.
  • Provide and control stock of stationery and office consumables.
  • Provide general support to visitors.
  • Liaise with Operation Manager and Leadership Team to handle requests and queries from BoM.
  • Working with May about staff meal data and details associated with dining facilities.
  • Liaise with Operation Manager to manage the school's budget.

2.    Infrastructure Management

  •  Manage and use effectively the infrastructure and facilities.
  •  Carry out inspection, handover and recovery of infrastructure and facilities after each school year.
  •  Receive reparation requests, assign maintenance work to repair, maintenance of the campus, machinery, office equipment to ensure them in good condition.
  •  Organize and implement the efficient and economical use of assets, facilities, equipment, means of studying, teaching, working and learning.
  • Monitor contractors, partners to provide quality supervision and quality control and acceptance of maintenance, quality assurance: tree care, elevator maintenance, insect control; pool cleaning.

Position requirements:

  • Bachelor degree in business administration or a related field preferred.
  • 2+ years of experience as an operations administrator or in a similar position.
  • Strong organizational and administrative skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office and data management software.
  • Detail-oriented with strong analytical and problem-solving skills.
  • Ability to multitask.
  • Good English
